This Privacy Policy explains how SealDocs ("the App") collects, uses, and protects your information. Your privacy is our top priority — SealDocs was designed from the ground up to keep your sensitive documents secure and under your control.

2. Local-First Architecture

SealDocs stores all documents locally on your device in an encrypted SQLite database. Your passports, IDs, insurance cards, and other sensitive documents never leave your phone unless you explicitly opt in to cloud features.

  • All document images and metadata are encrypted on-device
  • No document data is uploaded to our servers by default
  • Cloud backup is optional and requires explicit user consent

3. Information We Collect

Information You Provide

  • Account credentials (email/password, or sign-in via Google/Apple)
  • Document images and metadata you choose to store in the app
  • Profile information (names for family members, pets, businesses)
  • Preferences and settings within the App

Automatically Collected Information

  • Device type and operating system (for compatibility)
  • App usage statistics and crash reports (via Firebase Analytics/Crashlytics)
  • General location (country/region) for service optimization

4. Authentication

SealDocs uses Firebase Authentication to manage user accounts. You can sign in with email/password, Google, or Apple. Authentication credentials are handled securely by Firebase and are not stored in the local document database.

5. How We Use Your Information

We use your information to:

  • Store and organize your documents locally on your device
  • Send expiry reminders and smart notifications
  • Provide the AI assistant experience (when opted in)
  • Improve and optimize the App experience
  • Provide customer support

6. AI Processing & Cloud OCR

SealDocs offers optional AI features that process data externally:

  • On-device OCR: Text recognition runs locally on your device using ML Kit. No data is sent externally.
  • Cloud OCR (optional): For improved accuracy, you can opt to process individual images via cloud OCR. Images are processed per-request and are not stored after processing.
  • AI Assistant (Sealy): When you use the AI assistant, sanitized document metadata may be sent to OpenAI (ChatGPT-4o Vision) to generate responses. Each image requires your explicit per-image confirmation before being sent. We are transparent about what data is shared.

We do not use your personal inputs or documents to train AI models.

7. Data Storage and Security

We implement robust security measures to protect your data:

  • Documents are stored in an encrypted SQLite database on your device
  • Sensitive credentials are stored using the device's secure keychain
  • Biometric authentication (Face ID / Touch ID) protects app access
  • Cloud backups, when enabled, use per-device encryption

8. Data Sharing

We do not sell your personal information or documents. We do not share your data with advertisers. We do not engage in cross-app tracking or device fingerprinting.

We may share limited data with:

  • Firebase (Google) for authentication, analytics, and crash reporting
  • OpenAI for AI assistant features (only with your explicit per-use consent)
  • Legal authorities when required by law

9. Your Rights

You have the right to:

  • Access all data stored in your vault at any time
  • Export your entire vault as JSON or PDF
  • Delete all your data with a single action from settings
  • Opt out of analytics collection
  • Revoke consent for cloud features at any time

10. Children's Privacy

The App is not intended for children under 13. We do not knowingly collect personal information from children under 13.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes through the App or via email.
